Transfers and ICT List
Created October 25, 2023
Responsible department:
Inventory Team
Erica, Inventory Manager
Sonni, Inventory Associate
Purpose
Move needed product between Craig Road, Lone Mountain, and Aliante Animal Hospitals — instead of ordering from an outside vendor — and track, price, and invoice those transfers correctly across all three hospitals' books.
Context
Craig Road holds most of the vendor accounts for the group, so it acts as the hub for Inter-Clinic Transfers (ICTs): when Lone Mountain or Aliante need something they don't stock, it's often faster and cheaper to pull it from Craig Road than to place a new vendor order. The whole process is tracked on a single shared ICT Google Sheet, with a new dated tab added each week for the current want list.
Terminologies
- ICT (Inter-Clinic Transfer): Product moved from one Pet Group hospital to another instead of being purchased from an outside vendor.
- ICT List: The shared Google Sheet used to track want-list items, pricing, and invoicing status for all pending ICTs. New dated tabs (e.g., 8.10.26) are added as new want lists come in.
- Cost Each: The per-unit price entered on the ICT List for a given product, sourced from the most recent Vetcove purchase price.
- Vetcove: The group purchasing platform (shop.vetcove.com) used to look up recent purchase prices for ICT List items.
